Job Title: Secretary for Kuwaiti (Male only)
Job Overview: The Secretary is responsible for providing administrative support to ensure the efficient operation of the office. This role requires strong organizational, communication, and multitasking skills to handle various clerical tasks, such as answering calls, managing schedules, handling correspondence, and assisting in office management.
Key Responsibilities:
1. Administrative Support: o Answer and direct phone calls, take messages, and handle inquiries. o Schedule meetings and appointments for executives or managers.
o Organize and maintain office files, both physical and digital.
o Prepare and process documents, reports, and presentations.
o Handle incoming and outgoing mail, packages, and emails.
2. Correspondence Management:
o Draft, proofread, and edit letters, memos, and emails.
o Maintain and update contact lists and databases.
3. Scheduling and Calendar Management:
o Coordinate meetings, conferences, and events.
o Book travel arrangements and accommodations as required.
4. Record Keeping and Filing:
o Organize and maintain filing systems, both physical and electronic.
o Manage confidential information and documents with discretion.
5. General Clerical Tasks:
o Perform routine office duties, such as photocopying, faxing, scanning, and typing. o Assist with data entry and database management.
o Manage office procedures to ensure efficiency and organization.
6. Customer and Client Service:
o Greet visitors, determine their needs, and direct them to the appropriate person or department.
o Provide customer service, offering information and assistance when necessary.
7. Financial Support:
o Assist with invoicing, billing, or other basic financial tasks as required.
o Track office expenses and manage petty cash.
Required Skills and Qualifications:
• High school diploma or equivalent; additional qualification as a Secretary or Administrative Assistant is a plus. • Proven experience as a Secretary or in another administrative role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong organizational and time-management skills.
• Excellent verbal and written communication skills.
• Ability to work independently and as part of a team.
• Attention to detail and problem-solving ability.
• Professional appearance and attitude.
