We are seeking a dynamic and highly motivated administrative secretary to join our growing team. This candidate will be working closely with the executive management and shall be a point of contact for the other colleagues.
Job responsibilities:
1. Act as a primary point of contact for executives. Maintains calendar, coordinates, arranges and confirm meetings.
2. Internal and external communications to be handled & facilitated on behalf of executives, including phone calls, emails, and written correspondence.
3. Coordinate and schedule appointments, conferences, and travel arrangements for executives, ensuring all arrangements are efficient and cost-effective.
4. Maintain confidentiality at all times and for all the tasks handled.
5. Attends all in-coming & out-going calls, handles inquiries and redirects calls as required.
6. Manage and prioritize incoming requests, inquiries, and tasks, delegating to appropriate team members when necessary.
7. Draft, proofread, and edit documents, including memos, letters, and other forms of communication.
8. Take minutes and provide administrative support during meetings, ensuring follow-up actions are tracked and completed.
Requirements:
1. Proven experience as an Executive Assistant or similar role.
2. Must be a graduate.
3. Females up to 35 years of age preferred.
4. Excellent verbal and written communication skills in Arabic & English.
5. Exceptional organizational skills with the ability to multitask and prioritize effectively.
6. Proficient in using office software, such as Microsoft Office Suite and calendar management tools.
7. Candidate should be an immediate joiner with visa 18 transferable.
