Job Title: Commercial Officer
Job Overview: We are seeking a highly motivated and experienced professional to join our team as a Commercial Officer. The successful candidate will play a crucial role in following up with team site acceptance, making timely invoicing to customers, and ensuring prompt payments by building relationships with customers and maintaining strong follow-up to ensure a healthy cash inflow monthly.
Responsibilities:- Quotation & Invoicing:
• Prepare and submit quotations to all customers based on agreed price lists and follow up for purchase orders.
• Generate material invoices upon delivery.
• Issue service sector invoices to customers upon site acceptance.
• Prepare work orders based on agreed terms with the customer.
• Coordinate with the team to ensure timely site acceptance for invoicing purposes. Invoicing on Portals: – • Use the STC customer portal to generate invoices in accordance with the site completion checklist.
• Utilize the Huawei customer portal to generate invoices following the site completion checklist.
• Employ the I.H.S customer portal to create invoices based on the site completion checklist. Payment Follow-up:
• Regularly follow up with customers to ensure timely payments as per agreed payment terms.
• Conduct visits and meetings to anticipate any delays and resolve payment issues proactively. Internal Communication and Reporting:
• Participate in weekly internal meetings with department heads and management to provide updates on invoicing, receivables, work orders, and recovery plans.
• Maintain records and track work completed for all clients
• Follow up on receiving additional documents required for completed work as per contract terms for all clients.
• Invoice work orders or quotations promptly to for timely recovery of funds. Database Management: • Maintain and update databases including:-
• Quotation Master Details for current and past years.
• Work Order Master Details for current and past years.
• Invoice Master Details including receivables aging and payment status for each customer, as well as a summary of company-wide invoicing, receipts, and receivables.
• Ensure cross-referencing of databases to facilitate easy tracking and management information retrieval. Odoo ERP Implementation:
• To work Odoo ERP Sales module to for commercial processes as per the procedure.
Qualifications:
• Bachelor’s degree in Business Administration, Finance, or related field.
• Proven experience in a similar commercial role, preferably in the telecommunications industry.
• Strong organizational skills with attention to detail.
• Excellent communication and interpersonal skills.
• Proficiency in using ERP software and Microsoft Office Suite.
• Ability to work independently and as part of a team.
• Local candidates based in the Kuwait are preferred.
